Lost Card Reporting and Application

The institution or organization to which an employee who has lost or had their entry card stolen belongs must immediately notify the HEAŞ Security Directorate during working hours, or the Police Duty Supervisor outside working hours, and subsequently inform HEAŞ by email within 24 hours at the latest. In such cases, if the lost card notification is received during working hours, the HEAŞ Card Operations Unit will deactivate the card. If a replacement for the lost card is not requested, this must be indicated in the email. If the loss occurs outside working hours, the Police Duty Supervisor will forward the information to CCTV, and security units will monitor whether the lost card is used in the system. If a replacement card is requested, the employee’s institution must submit the application to the HEAŞ Card Operations Office within five business days. Institutions that fail to submit the application within the specified period will be subject to a financial penalty in accordance with the Sanctions Text.

E-Signature

In accordance with Article 6 of the “Sabiha Gökçen Airport Entry Cards Directive,” approved and enacted on February 9, 2023, applications submitted after April 9, 2023 are accepted only with an electronic signature. Wet-signed applications may be accepted only in the event of a technical system failure, as specified below.

If a new card is requested:
A lost card application is created in the HEAŞ Card Tracking System and electronically signed by the institution’s authorized personnel. (For institutions subject to fees, the HEAŞ Revenue Office must also be notified.)

Lost card applications cannot be submitted for personnel whose Course-1 Security Awareness Training has expired. The personnel must first complete the Course-1 Security Awareness Training refresher.

If a new card is not requested:
A notification is sent by email to the HEAŞ Card Operations Office. The notification must indicate that a replacement card will not be requested and include the employee’s insurance document confirming whether they are still employed or have left the organization. After the notification, the card is deactivated, and the HEAŞ Revenue Office is informed for any applicable sanctions.

Note: Institutions that work with fees through the HEAŞ Revenue Office must also contact the relevant department to follow up on the matter.
